How we collect, use and look after your personal information when you visit our website, book your car in or contact us.

This policy explains what personal information Childwall Fiveways Auto Centre collects when you use this website, book your car in or contact us, why we need it, and what we do with it. We only ask for what we need to look after you and your vehicle, and we never sell your details.

What we collect
When you book or send an enquiry
Our booking and contact forms ask for your name, email address, phone number, your vehicle registration and any details you choose to give us about the work you need. Business Priority Service enquiries also ask for your company name. We use this to arrange your booking, give you a quote and get back to you.
When we work on your vehicle
When your car comes in we keep a record of your contact details, your vehicle (registration, make, model and mileage), the work we carry out, parts fitted, invoices and payments. If your car has an MOT with us, the test result is recorded on the DVSA MOT system, as the law requires for every MOT testing station.
MOT reminders
If your car has its MOT with us, we use your name, contact details and vehicle registration to send you a free reminder before your next MOT is due. You can ask us to stop these at any time by calling or emailing us.
When you call or email us
We keep emails and notes of phone calls where they relate to a booking, a quote or work on your vehicle.
When you browse the website
Our web host keeps standard server logs, which include IP addresses, browser type and the pages requested. These are used to keep the site secure and working properly. For details of cookies, please see our Cookie Policy.
Why we use your information
Under UK data protection law we have to have a lawful basis for using your information. Ours are:
- To carry out the work you ask for (contract): taking bookings, giving quotes, repairing and servicing your vehicle, and contacting you about it.
- To meet our legal obligations: keeping accounting and tax records, recording MOT results with the DVSA, and dealing with warranty or safety issues.
- For our legitimate interests: answering enquiries, sending MOT reminders, keeping the website secure, and keeping a service history so we can advise you properly next time your car is in.
- With your consent: for optional cookies such as the embedded Google Map. You can change your mind at any time using the Manage cookies link at the bottom of every page.
We do not use your information for automated decision making or profiling, and we will not send you marketing unless you have asked us to.
Who we share it with
We only share your information where we need to, and only with:
- The DVSA, for MOT test records.
- Companies that help us run the business, such as our website host, email provider and accounting software. They only act on our instructions.
- Parts suppliers and manufacturers, where needed for warranty claims (usually just vehicle details).
- Payment Assist, if you choose to spread the cost of a repair. Payment Assist handle your application directly and have their own privacy policy.
- Google and Trustindex, whose review widget on our homepage loads reviews and reviewer photos from their servers. This means your IP address is shared with them when the page loads.
- The police, insurers or other authorities where the law requires it.
Some of these providers may store data outside the UK. Where they do, we make sure it is protected by UK adequacy regulations or approved contract terms.
How long we keep it
- Website enquiries that don’t lead to a booking: up to 12 months.
- Customer and vehicle records, job cards and invoices: 6 years after the last work we carried out, to meet tax and accounting rules.
- Server logs: kept by our host for a short period for security purposes.
Keeping it safe
Our website uses an encrypted (HTTPS) connection, access to customer records is limited to staff who need it, and we use reputable providers for hosting and email.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong or incomplete
- ask us to delete your information, where we don’t need to keep it for legal reasons
- object to or ask us to restrict how we use it
- ask for your information in a format you can pass to someone else
- withdraw consent at any time, where we rely on consent

Complaints
If you are unhappy with how we have handled your information, please talk to us first and we will do our best to put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
